The Deets:
Assistant and Operations Coordinator to Stephanie Cowan
Part time, 10 to 15 hours per week
Hybrid preferred in San Francisco, remote considered
$25 to $32 per hour plus commission on speaking engagements booked
About the work
Hi, I am Stephanie. I am a speaker, artist, community builder, facilitator and photographer. My work focuses on belonging, connection, creativity, and helping people feel less alone. This role exists so that I can stay focused on speaking, creating, and facilitating while you support the logistics, coordination, and operations that make everything run smoothly.
This position is execution focused. It is for someone who is organized, dependable, and comfortable managing details in a dynamic and creative environment. It is part time for now with the opportunity to step into more responsibilities as time goes on. Really, I am calling in a collaboration partner, friend and wrangler!
What you will be doing
Coordinating my schedule and managing bookings
Creating proposals in Canva
Drafting contracts and tracking signatures on Honeybook
Creating and sending invoices and tracking payments
Researching aligned organizations, conferences, and podcasts
Pitching speaking engagements and podcast opportunities
Pitching partnerships and sponsorships
Client communication
Tracking tasks, deadlines, and deliverables
The occasional wrangling of my creative spirit
Providing light event coordination support when needed

Experience supporting a speaker, artist, or creative professional
How we will work together
Part time, 10 to 15 hours per week to start
One weekly check-in conversation
Day to day communication through Slack
Flexible schedule with occasional deadline driven periods
Ideally in the SF Bay Area, remote applicants welcome
Occasional travel or event presence is a plus, not required
Who this role is right for
You are highly organized and dependable. You take ownership of tasks and see them through to completion. You are comfortable managing multiple priorities, tracking details, and keeping systems running smoothly. You communicate clearly, follow up consistently, and are proactive about solving problems.
You work well with creative leaders and understand how to bring structure to big ideas. You are calm, steady, and able to support someone whose work involves many moving parts. You value connection and community, and you are motivated by meaningful work, even when much of your contribution happens behind the scenes.
Competence, reliability, and impact are important pillars in our collaboration. I am looking for someone I can trust to manage details, meet deadlines, and follow through on commitments consistently.
I am also hoping to build a strong working relationship. In my work there is room for play, humor, and lightness, and I value a collaborator who brings a positive attitude while staying grounded and professional. We will be working closely together, so mutual respect, clear communication, and a healthy dose of kindness matter.
Compensation
$25 to $32 per hour depending on experience
Commission on speaking engagements you help book
